Privacy Policy

Effective date: October 10, 2026 · Last updated: October 10, 2026

[LEGAL BUSINESS NAME], doing business as Job Application Office ("JAO," "we," "us," or "our"), provides job-search and application support. That includes finding suitable job openings, preparing and customizing application materials, submitting applications on your behalf, and tracking your progress. This policy explains what personal information we collect, how we use and share it, and the choices you have.

Privacy at a glance

  • What we collect: your contact details, the resume and job-search information you give us, and order details.
  • Why: to find jobs, prepare and submit your applications, process payments and reply to you.
  • Who sees it: employers and job sites you authorize us to apply to, and the service providers that help us run JAO, including AI tools for proofreading and drafting.
  • Get Discovered is optional: only if you opt in, we share your profile with partner recruiters and employers, who may pay JAO for access. It's off unless you turn it on, and you can leave at any time.
  • We do not sell your personal information or use it for targeted advertising. The only exception is Get Discovered, and only with your permission.
  • How long we keep it: up to 24 months after your last order, unless you ask us to delete it sooner.
  • Your choices: email us any time to see, correct or delete your information, or unsubscribe from marketing emails.

1. Information we collect

Information you give us

  • Contact details: your name, email address and phone number (optional), for example when you use our contact form.
  • Job-search information: your resume, education, work history, skills, qualifications, and the roles, industries, locations and other job preferences you share during onboarding.
  • Application materials: resumes, cover letters and answers we prepare or submit for you, plus records of where and when applications were submitted.
  • Order details: the package you buy, order history, refunds and payment status. Your card or payment details are entered with our payment provider, not stored by JAO.
  • Messages: anything you send us by email or through our contact form.

Information collected automatically

Our website does not use analytics, advertising or tracking cookies. Like most websites, the company that hosts our site may automatically record basic technical information when you visit, such as your IP address, browser type and the pages requested. This is used to keep the site running and secure.

Information from others

We may receive information from our payment provider (for example, confirmation that a payment went through) and from employers or job sites about applications we submitted for you (for example, a confirmation or a reply).

2. How we use your information

  • To provide our service: finding suitable jobs, preparing and customizing your materials, submitting applications you've authorized, and tracking progress.
  • To process orders, payments and refunds, and keep business records.
  • To communicate with you, including replies to your messages, order confirmations and updates about your applications.
  • If you join Get Discovered, to share your profile with partner recruiters and employers (see section 4).
  • To send occasional marketing emails about JAO. You can unsubscribe at any time (see section 10).
  • To improve our service, prevent fraud and keep our systems secure.
  • To meet legal obligations and enforce our terms.

3. Job applications

When you authorize us to apply for a job on your behalf, you are directing us to share the information needed for that application with the employer, job site, recruiter or application system involved.

Once an application is submitted, the recipient handles your information under its own privacy policy. JAO does not control how employers or job sites use it.

Please make sure the information you give us is accurate. JAO does not guarantee interviews, job offers or any particular outcome.

4. Get Discovered (optional recruiter program)

Get Discovered is an optional program. If you join, we may share your profile with recruiters, staffing agencies and employers we partner with, so they can contact you about job opportunities. These partners may pay JAO for access to profiles. That's why we only share your profile with your clear permission.

It's your choice

  • It's off unless you turn it on. You join only by ticking a separate box that isn't part of your purchase or our other terms.
  • Not joining doesn't change your service or your price.
  • You can leave at any time (see "Leaving the program" below).

What we share

Your name, email address, phone number (if you gave one), resume, work history, education, skills, and job preferences such as the roles, industries and locations you're interested in.

We never share your payment details, the sensitive information described in section 13, or the list of jobs we've applied to for you.

Who receives it

Recruiters, staffing agencies and employers that agree to use your profile only to contact you about job opportunities, and not to resell it. Each partner also handles your information under its own privacy policy.

Leaving the program

Email privacy@jobappoffice.com to leave Get Discovered. We'll stop sharing your profile with partners within 15 business days. We'll also tell partners who already received it that you've left and ask them to stop using it, but we can't control information a partner already has. Leaving doesn't affect your other JAO services.

Your profile stays in the program until you leave, or until we delete your information under section 8.

5. Artificial intelligence (AI) tools

We may use AI tools to help proofread and draft application materials, such as resumes, cover letters and application answers. To do this, these tools may process the information you provide, including your work history, education, skills and job preferences.

AI tools are provided by outside companies. They process information under their own terms, and depending on the provider, may keep it or use it to improve their services. We only provide what is needed for the task, and we don't enter sensitive information (see section 13) into AI tools.

AI can make mistakes, so please review your application materials whenever you're given the chance.

6. Cookies and tracking

Our website currently does not use cookies, analytics, advertising pixels or similar tracking technologies. If we start using them, we will update this policy first and offer any choices required by law.

We don't use personal information for targeted advertising. If your browser sends a privacy signal (such as Global Privacy Control), we treat it as a request not to sell or share your information, including through Get Discovered.

7. How we share information

We do not sell your personal information or share it for targeted advertising, except through Get Discovered, and only if you opt in (see section 4). We share it only as described below.

  • Employers and job sites: when you authorize an application (see section 3).
  • Recruiter and employer partners: only if you join Get Discovered (see section 4). These partners may pay JAO for access to profiles.
  • Service providers that help us run JAO: website hosting, payment processing, email, our contact form service, and AI tools for proofreading and drafting (see section 5). They may use your information only to provide their services, under their own terms and applicable law.
  • Professional advisers: such as lawyers and accountants, when reasonably needed.
  • Legal and safety reasons: to comply with the law, respond to valid legal requests, prevent fraud, or protect rights and safety.
  • Business changes: if JAO is merged, sold or reorganized, information may transfer to the new owner, who must continue to protect it.
  • With your permission: anywhere else you ask us to share it.

8. How long we keep information

We keep your resume, job-search information and application records for up to 24 months after your last order, so we can support repeat orders and follow-up. After that, we delete it or remove anything that identifies you.

We may keep order and payment records longer where the law requires it (for example, for tax purposes). You can ask us to delete your information sooner (see section 10).

9. How we protect information

We use reasonable safeguards to protect your information, such as limiting who on our team can access it and using reputable service providers. No method of storing or sending information online is completely secure, so we can't guarantee absolute security.

10. Your privacy rights and choices

You can ask us to:

  • See the personal information we have about you, and get a copy of it.
  • Correct information that is wrong.
  • Delete your information. Some records may be kept where the law requires it.
  • Leave Get Discovered at any time, if you joined (see section 4).

To make a request, email privacy@jobappoffice.com. We may need to confirm your identity first. We'll respond within the time required by law, and generally within 45 days. We will never treat you differently for using your privacy rights.

State privacy laws. Depending on where you live, including California and other states with privacy laws, you may have additional rights, and you may be able to appeal if we decline a request. Where these laws apply to JAO, we will honor those rights. You may also use an authorized agent to make a request where the law allows.

Marketing emails. You can unsubscribe at any time using the link in any marketing email, or by emailing us. We'll still send messages about your orders and applications.

11. Other websites and services

Our website and emails may link to other websites, such as job sites or employers. Their privacy practices are their own, so please review their policies before sharing information with them directly.

12. Age requirement

JAO is for adults 18 and older. We do not knowingly collect information from anyone under 18. If you believe someone under 18 has given us information, please contact us and we will delete it.

13. Sensitive information

Please only share what is needed for your job search. Don't send us Social Security numbers, government ID numbers, bank details, passwords to other websites, or health information unless we specifically ask for it through a secure process.

Resumes can sometimes include sensitive details. We handle anything you share under this policy and applicable law, and we never share sensitive information with Get Discovered partners.

14. Where information is processed

JAO is based in the United States. Some of our service providers may store or process information in other countries, where privacy laws may be different.

15. Security incidents

If a security incident affects your personal information, we will investigate, take steps to contain it, and notify you and any authorities as required by law.

16. Changes to this policy

We may update this policy when our services, tools or legal requirements change. We'll post the new version here and update the "Last updated" date. For important changes, we will give you any additional notice required by law.
